AI orchestration
Definition
AI orchestration is coordinating the steps around an AI model so a task runs reliably from start to finish: what starts it, which tools and data it gets, what happens when a step fails, and when a person must approve. The model is one step in that chain.

Also called: LLM orchestration, agent orchestration
When an AI workflow breaks in production, the cause is often one of these steps, for example a key that expired over the weekend.
How it works
The orchestrator, whether a workflow tool or your own code, runs the sequence. It fires on a trigger, calls each system in order, branches on the results, retries steps that failed, logs every run and pauses for approval before anything is sent outside the company. Credentials live here too.
There are two broad styles. In a workflow tool such as n8n, the steps are fixed and you can list them in advance, with one bounded AI step doing a defined job. In an agent setup, the model decides the next step itself. A practical test is to count the steps that make judgment calls against the steps that only move data. When judgment dominates, an AI agent may fit better than a long fixed workflow.
Example
An operations lead automates supplier invoices. When an invoice email arrives, an AI step reads the PDF and returns the supplier, amount and order number in a fixed format. The flow looks up the matching order in the accounting system. If the figures match, it creates a draft bill. If they don't, it sends the invoice to a person in Slack. Every run is logged with its outcome.
Common mistake
Turning on retries for every step. Retrying the lookup is harmless, but retrying "create bill" after a timeout can create the same bill twice. Mark which steps are safe to repeat before enabling retries, and give the others a duplicate check instead.

Related terms
- n8n
- n8n is a workflow automation tool where you build automations by linking steps, called nodes, on a visual canvas, starting from a trigger such as a schedule or an incoming webhook. Workflows can include AI steps and can run on n8n's cloud or on your own server.
- AI agent
- An AI agent is an AI system that works toward a goal by choosing its own next steps: it picks a tool, uses it, looks at the result and repeats until the task is done. You set the goal and the limits, and the agent works out the path.
- Human in the loop
- Human in the loop is a setup where an AI system pauses at set points so a person can approve or correct its work before it takes effect. It is used for actions that are hard to undo, such as sending emails to customers or moving money.
- AI observability
- AI observability is the practice of recording what an AI system does on every run, including each model call, tool call, cost and time taken, so you can see why it behaved the way it did. It is how teams debug and monitor AI once it runs on real work.
