ChatGPT Beyond the Basics

The dropdown at the top of ChatGPT is not decoration. Default/auto mode routes your request to an appropriate model and is fine for casual use. Thinking/reasoning modes make the model work through problems step by step before answering — use them for planning, analysis, math, and tricky comparisons, anything where a wrong answer costs you. Deep Research turns a question into a 5–30 minute autonomous research project with a cited report.

Build the habit of asking, before hitting enter on anything important, "does this deserve the thinking mode?" The answer is yes more often than you'd expect.

Projects are folders that combine related chats, uploaded reference files, and custom instructions that apply to every conversation inside. Set up one Project per major area of your life or work — for example, a company marketing Project with your positioning, audience, and banned words plus your brand guide and best posts as files; a personal finance Project with your country, filing status, and expense category rules; or a client Project with their voice, goals, and past deliverables.

The payoff: you open the Project, type a two-line request, and get output that would have needed a 300-word prompt in a blank chat. Projects are the single highest-ROI feature for regular users.

ChatGPT can remember details across conversations — your role, preferences, ongoing projects. Two rules: curate it, by checking Settings → Personalization → Memory occasionally and deleting stale or wrong entries, since a polluted memory quietly degrades every answer; and feed it deliberately, since saying "remember that I write in British English and my audience is B2B SaaS founders" pays out in every future chat.

Custom instructions — a global "about me + how to respond" setting — are worth 10 minutes of setup: who you are, what you do, and how you like answers formatted.

File uploads (PDFs, Word docs, spreadsheets, decks) let you ask questions, extract tables, and compare versions. For spreadsheets, ChatGPT can run actual data analysis — sums, pivots, trends, charts — using code behind the scenes, which is dramatically more reliable than asking it to "do math in its head."

Images in let you photograph a whiteboard, receipt, or error message and ask about it. Images out let you generate and conversationally edit images — good for concepts and moodboards, though final brand assets usually get finished in Canva. Voice mode enables full spoken conversations on mobile, underrated for thinking out loud on walks.

Custom GPTs are shareable, pre-configured versions of ChatGPT — instructions plus knowledge files plus optional abilities, wrapped with a name. Build one when a workflow is repeated often and used by more than just you, like a "Proposal Drafter" loaded with your service descriptions that anyone on your team can use. For personal solo use, a Project is usually simpler.

Scheduled tasks let ChatGPT do things on a schedule and message you the result — like a daily news summary about your industry. It's a small feature that plants the seed of the agent mindset: AI working when you're not there. ChatGPT also connects to apps like Gmail, Calendar, and Drive through connectors, using the same concepts as MCP.
